Subject: Reference request from [Your name]
Dear [Referee’s name], I hope you are well. I am applying for a [Job title] role at [Company], and I wondered whether you would be willing to be a reference for me, as [How they know you]. If you are happy to, it would be great if you could speak about [What they could speak about], as that is especially relevant to this role. I will send you my updated CV and the job description so you know what they are looking for. The employer may contact you in the next few weeks. Please let me know if you would rather not, or if there is a better way to reach you. Thank you very much for considering this. Best regards, [Your name]

Who to ask for a reference

The best referees know your work well and can speak about it in detail: a recent manager, a senior colleague, or, if you are early in your career, a lecturer, tutor or teacher. A well-known name who barely knows you is less useful than someone who worked with you every day.

Always ask before you give someone’s details to an employer. It is polite, and it gives them time to prepare a strong reference.

How to make it easy for your referee

  1. 1

Ask early. Give them at least a week’s warning before an employer might call.

  2. 2

Tell them what to highlight. Point them to the skills or projects most relevant to the job.

  3. 3

Send your CV and the advert. It helps them match what they say to what the employer wants.

  4. 4

Give them a way out. Make it easy to say no. A reluctant reference can do more harm than none.

  5. 5

Say thank you afterwards. Let them know how it went, whatever the outcome.

Dear [Referee’s name], I hope you are well. I am applying for my first role after my studies, a [Job title] position at [Company], and I would be very grateful if you would act as an academic reference for me, as [How they know you]. If you agree, it would be really helpful if you could mention [What they could speak about]. I am happy to send you my CV and the job description, and to answer any questions. The employer may get in touch over the next few weeks. Please let me know if you are not able to help; I completely understand. Thank you for your time and for all your support during my studies. Kind regards, [Your name]

Frequently asked questions

Are these reference request templates free?

Yes. They are free to use and copy, with no sign-up.

How many references do I need?

Most employers ask for two. Have a third ready in case one of your referees is unavailable.

Can a friend be my reference?

Usually not for a professional reference. Employers want someone who has seen your work or studies, such as a manager, colleague or lecturer. Some applications ask for a separate character reference, where a friend of long standing may be acceptable.

When should I ask for a reference?

Before you give their details to an employer, ideally at least a week before they might be contacted.
