What to include in a resignation letter

A resignation letter is a formal record that you are leaving. It only needs a few things: that you are resigning, your job title, and your last working day. Anything else, such as thanks or an offer to help with the handover, is a courtesy that helps you leave on good terms.

You don’t need to explain why you are leaving. If you want to give feedback, an exit interview is a better place for it than a letter that stays on your file.

How to resign well

  1. 1

Check your notice period. Your contract sets how much notice you must give. Count from the day you hand in your letter.

  2. 2

Tell your manager first. Speak to them in person or on a call, then send the letter straight after so the date is on record.

  3. 3

Keep it positive. You may need a reference from this employer one day. Stick to facts and thanks.

  4. 4

Offer a handover. Write down what you are working on and who should take it over. It is remembered long after you leave.

  5. 5

Keep a copy. Save the letter and any reply, in case questions come up about your notice or final pay.

Frequently asked questions

Is this resignation letter template free?

Yes. All three templates are free to use, copy and download, with no sign-up.

How much notice should I give?

Check your employment contract. Notice periods vary by employer and country, often from one week to three months. If you are unsure, ask HR before you resign.

Do I have to give a reason for resigning?

No. A resignation letter does not need a reason. Keep it short and professional; you can share more in a conversation or exit interview if you want to.

Can I resign by email?

Usually, yes. Many employers accept an email, and it gives you a dated record. Paste the letter into the email body and check whether your contract asks for written notice in a particular form.

Should I say where I am going next?

You don’t have to. It is fine to keep it private, especially if you are moving to a competitor.
